A successful dental practice requires more than clinical excellence. It requires people, structure, accountability, efficient systems, strong leadership, exceptional patient service, and financial discipline.

How we work with practices

Three engagement tiers

Start where the practice is. Move up as needs mature.

01
Assess

Understand where you stand

Structured operational and financial assessment

A structured review across people, patients, providers, operations, payroll, and financial performance. You leave with a clear picture of what is working, what is limiting production, and where the practice is exposed.

Includes
  • Practice evaluation across five operational domains
  • Staffing structure and workload review
  • Schedule and operatory utilization analysis
  • Provider productivity review
  • Patient experience and reviews audit
  • Payroll and pay-practice review
  • Financial reporting and margin review
  • Prioritized findings and recommended action plan
Best for Owners preparing for growth, considering an acquisition, or unsure why revenue is not tracking to capacity.
Deliverable Written assessment report and one working session to walk through it.
02
Build

Put the systems in place

Install the operating system

We turn the assessment into working systems — hiring, onboarding, scheduling, patient experience, performance reviews, payroll operations, and financial reporting cadence — installed with your team by the fractional CHRO working alongside our senior dental operations and finance advisors.

Everything in Assess, plus
  • Hiring, recruitment, and onboarding frameworks
  • Role-specific training: front desk, treatment coordination, patient communication
  • Scheduling protocols to maximize provider and hygiene hours
  • Patient experience playbook and reviews monitoring
  • Performance review structure and continuing-education plan
  • Payroll operating model: pay cycles, source deductions, T4 readiness
  • Bookkeeping and month-end close discipline
  • Financial reporting package: P&L by location and provider, cash flow, KPI dashboard
Best for Practices with the right people in place who need the operating system around them.
Deliverable Documented systems, playbooks, and reporting installed with your team.
03
Operate

Ongoing fractional leadership

Embedded CHRO, ops, and finance

Embedded fractional CHRO leadership paired with ongoing senior dental operations and finance advisors. Monthly performance and financial reviews, live hiring and performance support, payroll oversight, and leadership development — without the cost of a full-time CHRO, COO, or CFO.

Everything in Build, plus
  • Monthly performance, budget, and financial reviews
  • Ongoing hiring, retention, and performance-management support
  • Payroll oversight and issue escalation
  • Monthly financial statements and variance review
  • Practice manager and team-lead coaching
  • Continuous improvement across scheduling, patient experience, productivity
  • Escalation support on employment, policy, and people decisions
Best for Multi-location groups and growing practices who want senior leadership without adding three full-time executives.
Deliverable Ongoing partnership with a defined cadence and quarterly business review.

Multi-site dentistry runs on systems, not heroics — and the systems have to fit the way your team already works.

Provider-level review surfaces mix, hours, and support gaps that limit production.

Payroll confidence
Consistent pay cycles, statutory compliance, and clean records.
Where this tends to land

Three practice profiles

The profiles we work with most often.

The single owner-operator practice

  • Owner is still the bottleneck for hiring, scheduling, payroll questions, and people decisions.
  • Revenue is capped by the owner's clinical hours plus admin load.
  • Financial statements arrive months late — or only at year-end.
Entry pointAssess

The multi-location group

  • Two or more locations with inconsistent operating standards.
  • Practice managers vary in experience and confidence.
  • People decisions escalate to the owner or CEO too often.
  • Reporting is not comparable across locations.
Entry pointBuild or Operate

The acquiring or integrating group

  • Just acquired or preparing to acquire a practice.
  • Needs a defensible integration plan across people, systems, payroll, and financial reporting.

Frequently asked

Common questions

Do you work with single practices or only groups?
Both. Single owner-operator practices most often start with Assess. Groups tend to start with Build or Operate.
Are you a bookkeeper or an accounting firm?
No. Our senior dental finance advisor leads a specialized dental-practice payroll, bookkeeping, and financial-reporting workstream inside our engagement — we are not filing corporate tax returns or performing audits.
Do you replace our practice manager?
No. We work with the practice manager, coach them, and put the operating system around them so they succeed.
How is pricing structured?
Assess is a fixed-fee engagement. Build is scoped after the assessment. Operate is a monthly retainer sized to the number of locations and the cadence you need.
Is this only for Ontario practices?
Ontario is our primary market and where our regulatory depth sits (ESA, OHSA, PHIPA). We work with practices in other provinces on people, operations, payroll, and financial-reporting work that does not require province-specific regulatory specialization.
